The gap

Teams has no status report of its own.

Microsoft Teams has no built-in way to report on status over time. The green dot shows only who is online right this second, and Teams offers no presence history to look back on. The Microsoft 365 activity report counts actions like messages sent and meetings attended, which is a different question from when someone showed as online.

Presify fills that gap: it samples presence on a short, regular interval, saves each change, and turns the history into an online status report. The report is where both of the green dot’s blind spots show up. One is the person who stays green for hours without a break; the other is the person who always looks yellow but is online late into the evening.

The PDF scorecard draws one person’s day as a 24-hour ribbon of every status change (available, away, busy, offline), day by day across the range you pick. For the whole team’s day on one screen, open the dashboard.

How much, and when it happened

The PDF scorecard shows one person’s online time day by day. The Excel report totals the range for up to 50 people, with business-hours and 24-hour online time side by side, so the late-evening hours show up alongside the nine-to-five. Weekly and monthly totals, the multi-week trend and the after-hours split are on each person’s page.

Flags and exports

Presence that looks gamed, such as a long unbroken Available stretch with no idle time, listed with severity and status. Each report type has one format: a PDF scorecard, an Excel report or a CSV. Compare stays on screen. PDF and Excel files are generated in the background and wait under Recent reports.

Reports and flags start on the Standard plan, and the Member CSV is on every plan. Pro and Scale run all six flags and add a time-zone coverage view and scheduled delivery. How far back the history goes depends on your plan; see pricing for what each tier includes.

A Microsoft 365 admin signs in and approves read-only access. It takes about five minutes, and nothing is installed on anyone’s computer.

Choose who to track
Pick who the report should cover from your directory, in most countries except the EEA, the UK, Switzerland, and Canada. Anyone whose Microsoft 365 directory location is set to one of those is excluded automatically, guests are never tracked, and disabled accounts are skipped. The history builds from the day you connect.

What a status report can and can’t tell you

Presence isn’t productivity. An online status report is a directional record of when people showed as online in Teams and for how long, built from sampled presence. It doesn’t show what work someone did or where they were, and a flag is a pattern worth a look, not proof. Managers and HR get the most from it as the start of a better-informed one-on-one, never as the sole basis for a decision. Tell your team their presence is tracked before you start: some US states require advance written notice, and Presify includes a ready-to-adapt employee-notice template. Wherever your people are, notice, a lawful basis, and the local laws that apply to them are your responsibility.

Presify reads presence status and activity only, plus the directory basics and Outlook time zone needed to label it, never message, chat, call, file, or calendar content.
